- Shade Structures: 10x10 ft white Pagoda canopy tents for VIPs, guests, and first aid stations.
- Track Logistics: Grey or green synthetic carpets and artificial turf strips for race tracks; rope and pole cordoning for safety.
Audio & Technicals
- Sound System: Outdoor PA setup with 2 to 4 JBL or Yamaha top speakers on stands.
- Mic Setup: 2 wireless handheld microphones for commentary and 1 podium microphone.
- Music: Dedicated technician with console for background scores and fanfares.
Branding & Manpower
- Displays: 8x8 ft printed flex backdrop on wooden frames and directional standees.
- Entrance: Balloon arch or flex on frame welcome arch.
- Staff: 1 Event Manager, 3 to 4 prop helpers, and basic first aid counter setup.

- Fencing: Yellow or blue plastic low height picket fencing to separate toddler and messy play zones.

- Emcee: Professional anchor for 4 hours to host games and announcements.
- Game Management: Manpower to coordinate 5 to 8 game stalls including ring toss and sensory bins.
- Mascot: 1 character mascot in costume for 2 hours of meet and greet.

- Power Backup: 62.5 kVA silent generator including fuel for 4 to 6 hours.
