Scope of Communication
- RSVP Calling: Execution of one round of outbound calls to the entire guest list to confirm final attendance numbers.
- Digital Itinerary: Distribution of event schedules and location pins via WhatsApp broadcast lists using standard templates.
Logistics Planning
- Transport Matrix: Creation of a detailed Excel schedule mapping guest arrivals and departures to flight or train timings for driver coordination.
- Rooming List: Compilation of final guest-to-room assignments based on family preferences (e.g., grouping elders near elevators).
- Hotel Handovers: Submission of the finalized rooming list and ID proofs to the hotel front office 24-48 hours prior to check-in.
Database Management
- Master Guest List: Maintenance of a central Google Sheet tracking check-in status, room numbers, and special requests (wheelchairs, extra beds).
Guest Welcome Hostesses & Entry Setup
Manpower & Attire
- Hostesses: Deployment of 2 to 4 professionally groomed staff members stationed at the venue entrance.
- Themed Clothing: Hostesses dressed in thematic attire, such as traditional Sarees for weddings or Western Gowns for receptions.
- Greeting Protocol: Staff assigned to greet guests with folded hands (Namaste) or distribute welcome amenities.
Rituals & Materials
- Welcome Kit: Provision of silver or brass plated Thalis containing Kumkum (Tikka) and Rice (Akshat).
- Floral Items: Fresh flower garlands (Mala) for VIPs or loose rose petals for the couple's entry.
- Sprinkling: Use of Rose Water (Paneeroda) for guest welcome.
Visual Setup
- Entrance Signage: One customized digital print foam board (sizes 2x3 ft or 3x4 ft) mounted on a wooden easel stand.
- Crowd Control: Management of guest flow at the entrance arch to prevent overcrowding.
Dedicated Shadow Team & Helpdesk Staff
Staff Specifications
- Role Allocation: Staff deployable as Helpdesk Managers, Logistics Coordinators, or personal Shadows for the Bride/Groom.
- Uniforms: Team wears standardized black branded polo t-shirts or button-downs for easy identification.
- Comms: Equipped with high-range Walkie-Talkies for instant communication between venue, lobby, and parking.
- Shift Timing: Service coverage for up to 10-12 hours per day.
Operational Duties
- Front Desk Support: Manning the check-in counter, handing out room keys, and tracking arrivals against the RSVP list.
- Luggage Logistics: Coordinating with hotel bellboys to ensure baggage delivery to correct rooms and assisting during peak rush.
- Crisis Handling: Acting as a liaison with hotel staff to resolve on-the-spot issues like non-functional ACs or extra bed requirements.
VIP Shadowing
- Personal Assistance: Dedicated staff to shadow immediate family members for tasks such as carrying water, holding personal items during rituals, and coordinating driver movement.
