Scope of Communication

Logistics Planning
- Transport Matrix: Creation of a detailed Excel schedule mapping guest arrivals and departures to flight or train timings for driver coordination.
- Rooming List: Compilation of final guest-to-room assignments based on family preferences (e.g., grouping elders near elevators).
- Hotel Handovers: Submission of the finalized rooming list and ID proofs to the hotel front office 24-48 hours prior to check-in.
Database Management
- Master Guest List: Maintenance of a central Google Sheet tracking check-in status, room numbers, and special requests (wheelchairs, extra beds).
Guest Welcome Hostesses & Entry Setup
Manpower & Attire
- Hostesses: Deployment of 2 to 4 professionally groomed staff members stationed at the venue entrance.
- Themed Clothing: Hostesses dressed in thematic attire, such as traditional Sarees for weddings or Western Gowns for receptions.
- Greeting Protocol: Staff assigned to greet guests with folded hands (Namaste) or distribute welcome amenities.
Rituals & Materials

VIP Shadowing
- Personal Assistance: Dedicated staff to shadow immediate family members for tasks such as carrying water, holding personal items during rituals, and coordinating driver movement.
